How RENT MIVIO handles personal data.

1. Who we are

RENT MIVIO is a rental-management platform. The operating company's legal name, address and registration details are to be inserted by the operator. Contact: use the contact form.

2. Data we collect

  • Account data: name, email address, phone (optional), country, preferred language, role and a one-way hash of your password.
  • Property Owners: business name, address, tax reference (optional), properties, listings, photos, assets and contracts.
  • Tenants: optional profile details, enquiries and messages, contracts you receive and sign.
  • Verification companies: company details and the findings they upload.
  • Website enquiries: the details you submit in the contact form.
  • Signature records: signature ID, contract version and hash, time, IP address, browser user agent and the signature image you provide.
  • Security and audit data: sign-in events, important actions and a keyed hash of IP addresses for abuse control.

3. Why we use it

To provide the service (listings, enquiries, contracts, verification), to secure accounts, to prevent abuse, to keep an audit trail, to send notification emails and to meet legal obligations.

4. Background verification and consent

Background verification is optional and is switched on or off by the platform administrator. When a property owner requests it, you are asked for consent in the app and may refuse; work does not start without consent. Companies see only requests assigned to them. Findings are stored in protected storage and are visible only to the property owner, the assigned company and administrators, never publicly.

5. Who can see what

Public listings show only approved property information; property owner contact details are not shown. Property Owners do not receive tenant email or phone through enquiries. Administrators can access data needed to run the platform; their actions are logged.

6. Cookies

We use a single, strictly necessary session cookie (HttpOnly, SameSite, and Secure in production) to keep you signed in and protect forms. We do not use advertising or analytics cookies on this site.

7. Emails

We send transactional emails such as registration, approvals, enquiry replies, contract and verification notices and security events. Contract emails never contain a link to the contract.

8. Security

Credentials and sensitive configuration are encrypted at rest, passwords are hashed, requests are validated and protected against CSRF, uploads are checked and stored outside the public web root, and access is authorised on every request.

9. Retention

We keep data while your account is active and as needed for contracts, legal duties and the audit log. Retention periods must be defined by the operator.

10. Your rights

Depending on where you live you may have rights to access, correct, delete or export your data and to object to processing. Contact us through the contact form.
